What is the SOCAR Trust Line?

The SOCAR Trust Line is a feedback channel that allows you to express concerns regarding violations of business ethics, laws, or existing company policies and procedures. Your messages will be registered by an independent third party, ensuring your anonymity and the confidentiality of the information provided.

You Can Report Anonymously!

Anonymity means that the applicant's identity is unknown to everyone – neither to Ethicontrol representatives who received the report, nor to the response team, nor to any other Company representatives, unless the applicant wishes to disclose it upon submitting the report.

Anonymity is guaranteed by the conditions that make it impossible to identify the applicant. Personal data cannot be recorded or disclosed to anyone in any way.

To ensure full anonymity and impartiality in registering reports, the company has entered into an agreement with an external independent service provider - LLC "Ethicontrol".

Ethicontrol physically cannot pass on the information after it has been recorded in the database and is not authorized to grant access rights to third parties within the Company.

The provider's task is to organize the independent registration of calls and messages through an anonymous web portal and to protect the anonymity of applicants. If you do not wish to disclose yourself, no one will do so without your consent. The information you provide is confidential to the extent permitted by applicable law.

The main standards and international practices in compliance are defined by:

  • ISO 37002 Whistleblowing Management Systems;
  • ISO 37001 Anti-Bribery Management Systems;
  • The EU Whistleblower Protection Directive;
  • GDPR / CDPA or other local privacy laws.

Why?

SOCAR Group in Ukraine (hereinafter referred to as SOCAR) operates in accordance with the principles of integrity. The SOCAR Trust Line is an important tool for promoting ethical behavior and ensuring compliance with legal and ethical standards. The Trust Line platform allows for the reporting of suspicious activity, unethical behavior, or violations of Company policies.

Accordingly, SOCAR prohibits:

  • Any manifestations of corruption;
  • Discrimination against employees in any form;
  • Unethical behavior.

What Can You Report to the SOCAR Trust Line?

  • Unethical behavior, discrimination, threats, harassment;
  • Unfair competition in any areas;
  • Theft and embezzlement;
  • Fraud;
  • Violations of laws, Company policies, and procedures;
  • Violations of environmental, health, and safety regulations;
  • Abuse of authority;
  • Conflicts of interest.

Who Can Report and How?

Employees of the Company, Guests, Business Partners – anyone can report violations in SOCAR.

You can submit a report in one of three convenient ways:

  1. Visit the secure portal by simply clicking the link socar.ethics.help
  2. Call 0 (800) 357 175. Calls are free from all operators and are accepted on working days from 09:00 to 18:00 (outside working hours, you can leave a message on the answering machine).
  3. Send an email to socar(at)ethics.email

Please note that the Trust Line does not register:

  • Consumer and client complaints about products or services, or other reports within the scope of the Law of Ukraine "On Consumer Protection."
  • Complaints about third parties;
  • Complaints about household problems or other issues beyond the competence of the company and its employees;
  • Threats to others.

What Happens After Your Report is Registered?

  1. You will receive a secret feedback code, which you can use to check the status of your report.
  2. The external contractor registers your report and sends it to the authorized persons in SOCAR for initial analysis.
  3. The initial analysis includes evaluating your information, prioritizing it, and forwarding it to the responsible persons for processing.
  4. If there is insufficient information during the analysis, the review of your issue may be suspended to clarify additional data using available communication tools.
  5. Each report is assigned a responsible person and a team to investigate the incident and resolve your issue.
  6. The responsible team will contact you during the review of your report, provide status updates, request and receive additional information, or inform you about the investigation results and response actions.
  7. Through the feedback web portal, you can anonymously communicate with the responsible team, share additional files if necessary. In the web center settings, you can change your access credentials, add or change contact details. If you wish, you can leave an email address to receive automatic notifications about the status changes of your report or comments from the Company.
  8. Upon completion of the review, you can evaluate and provide feedback on the performance of the responsible team and response actions through the Anonymous Feedback Web Portal.

SOCAR Trust Line Operating Principles:

  • SOCAR guarantees confidentiality and anonymity to those who report facts of fraud and corruption.
  • The registration of reports is carried out by an independent third party.
  • All 100% of reports are registered, provided they contain the necessary minimum information for further steps.
  • Verification of the received information is carried out for each report.
  • The received information is reviewed exclusively by persons who are not participants in the process, allowing them to objectively and independently organize the verification process and draw conclusions about the established facts.
  • If the information received is confirmed, the materials will be forwarded to the company's top management for immediate action.
  • The specific actions taken always depend on the nature and severity of the violation.
